Het archief van het secretariaat van de Bilderberg Conferenties bevat onder meer uitnodigingen, deelnemerslijsten, correspondentie met deelnemers en landen, working-papers, persberichten en rapporten. Geluidsbanden, waarop redevoeringen en discussies zijn vastgelegd, zijn overgedragen aan het Nederlands Instituut voor Beeld en Geluid.

Geschiedenis van de archiefvormer
Organisatie van de Bilderberg Conferenties
In mei 1954 vond onder voorzitterschap van prins Bernhard een vergadering plaats van leidende personen ("leading citizens") van de landen van het Atlantisch bondgenootschap plaats om langs informele weg de problemen van de westerse wereld te bediscussiëren. Zij werd gehouden in het hotel De Bilderberg in Oosterbeek; vanuit de vergadering werd een internationale stuurgroep (steering committee) gevormd, die herhaling van deze conferenties zou voorbereiden. De correspondentie werd geregistreerd door een klein secretariaat in Nederland.
Sedertdien werden periodiek, vanaf 1956 jaarlijks, deze conferenties gehouden, telkens in een ander land. Vanaf 1957 werden zij om de vier jaar op het Amerikaanse continent gehouden. Zij kregen bekendheid als Bilderberg-conferenties en werden tot 1976 voorgezeten door prins Bernhard. Men kende geen institutioneel ledenbestand; de stuurgroep, die ook de agenda vaststelt, stelt een lijst van 80 à 100 genodigden op die als leidende figuren op sociaal, politiek, economisch en cultureel terrein konden worden aangemerkt.
Tijdens de conferentie werden weliswaar working-papers bediscussieerd, die door de stuurgroep of de deelnemers waren voorbereid, maar geen besluiten genomen.
Ook werden er geen stemmingen gehouden. De meningen werden vastgelegd in een gezamenlijk te arresteren rapport, dat uitsluitend aan de deelnemers werd toegezonden. Om te vermijden, dat bepaalde uitspraken geïnterpreteerd kunnen worden als uitingen van partij politieke aard worden de namen van de sprekers niet vermeld.
De uitnodigingen, working-papers, gesprekken en rapporten van de conferenties droegen een vertrouwelijk karakter. Toen er aan het eind van de jaren 1960 kritiek ontstond over het Atlantisch bondgenootschap werd er ook bezorgdheid geuit over de invloed, die de Bilderberg-conferenties konden hebben op de Nederlandse politiek: het samenkomen van topfiguren uit het grootkapitaal met staatslieden kon leiden tot wederzijdse internationale beleidsafspraken zonder enige constitutionele controle. In hoeverre de Bilderberg-conferenties inderdaad invloed hebben gehad kan nu door wetenschappelijk historisch onderzoek worden nagegaan.

Geschiedenis van het archiefbeheer
De verwerving van het archief
Het archief is door schenking verworven.
In 1980 werd het archief van het secretariaat over de periode 1952-1970 aan het Algemeen Rijksarchief overgedragen; het was geborgen in archiefzakken met opschriften, die nagenoeg gelijkluidend waren aan hetgeen op de lijst staat beschreven.

Inhoud en structuur van het archief

Ordening van het archief
Bij de raadpleging van de dossiers dient de onderzoeker met het volgende rekening te houden: alfabetisch geordende correspondentie op land van herkomst werd in het Frans of Engels gevoerd. De landen zijn geordend op hun Engelse benaming, waarbij Groot-Brittannië staat geklasseerd als United Kingdom.

Openbaarheidsbeperkingen
Deels openbaar, deels beperkt openbaar (B). Voor raadpleging van stukken jonger dan 50 jaar is toestemming vereist van het bestuur van de Bilderberg Meetings.
Beperkingen aan het gebruik
Reproductie van originele bescheiden uit dit archief is, behoudens de algemene regels die gelden voor het kopiëren van stukken, niet aan beperkingen onderhevig. Er zijn geen beperkingen krachtens het auteursrecht.
Materiële beperkingen
Het archief kent geen beperkingen voor het raadplegen van stukken als gevolg van slechte materiële staat.

Aan het archief werden bandopnamen toegevoegd van tijdens de conferentie gehouden gesprekken. Deze zijn in eerste instantie overgedragen aan het filmarchief van de Rijksvoorlichtingsdienst, en later aan het Nederlands Instituut voor Beeld en Geluid te Hilversum.
